What Each Record Holds

Identify and manage the exact physical unit

A record for each unit helps teams avoid confusing identical models at different locations or in different hands.

The Workflow

Follow the same unit through every handover

A distinct identity lets receiving, assignment, service and retirement refer to the same physical item.

Step 01

Receive and register

Record the purchase and receiving context, then create a distinct record for each serialized unit.

Step 02

Identify the unit

Associate its asset code, manufacturer serial number where available and printable barcode label.

Step 03

Place or assign

Record the branch, location or employee responsible for the specific item.

Step 04

Record every move

Track internal transfers, service out and service return against the same asset identity.

Step 05

Maintain its history

Connect maintenance, warranty, documents and audit activity with the item being managed.

Step 06

Review its final state

Keep the unit’s accumulated history available when it is lost, retired or disposed.

Operational Value

Account for each item across its working life

Use item-level records where an asset’s identity, custodian, service needs or history matters.

Know the exact item

Distinguish one laptop, medical device, tool or machine from another item of the same type.

Clarify responsibility

Connect an identifiable unit with its current location or assignee and earlier handovers.

Follow service history

Review repairs and service movements against the same unit instead of a general asset category.

Prepare for verification

Identify the unit by its asset code or barcode and review discrepancies against its record.

Keep coverage in context

Find warranty and related records for the item that needs attention.

Retain lifecycle context

Follow a physical unit from receiving through assignment, movement and final status.

Choose the Right Model

Serialized or quantity-based?

Track laptops, machines and other identifiable units individually when their custody or service history matters. Manage interchangeable supplies by quantity and location when individual identity is unnecessary.

Frequently Asked Questions

Questions about serialized asset tracking

01

What is serialized asset tracking?

+

Serialized tracking gives each physical asset unit a separate record and identity so its location, custody, movements and lifecycle history can be reviewed individually.

02

Does every item need a manufacturer serial number?

+

No. A unique internal asset code can identify an item even when the manufacturer has not supplied a serial number. Manufacturer serial numbers can be recorded where available.

03

How does this differ from barcode tracking?

+

Serialized tracking is the item-level record and history. A barcode label is one way to identify that item during a workflow; it does not replace the record.

04

When should I use quantity-based tracking instead?

+

Use quantity-based tracking when interchangeable items are managed by count and location rather than individually assigned or serviced units. AssetPrime supports both models.

05

Can I see who has a serialized asset?

+

Yes. AssetPrime supports assignment to a user or employee record and retains assignment and return history for the individual item.

06

Can an individual unit move between branches?

+

Yes. Internal movement records help track changes in branch or location for the same serialized asset.
